Normally when we see the word “tips” we get wary. Tips are normally sales tools disguised as tips, for example - Tip 1 - “Use an event management company to ensure that your event goes off well”. Not a very subtle tip there but a common one.
Well over the last few months we have been “challenged” by circumstances outside our control in various events, of course we sorted it as always but things can be less stressful if you just put a few things in place.
Our top tips for any event.
1- Allow time for set-up when booking the venue.
Yes there may be an extra charge but if you are looking for a wow factor for a conference or have any event that requires a reasonable set-up then let the hotel know and get it in writing.
2-Use a switcher - a great piece of equipment
A switcher (also goes under other names) is a great piece of Audio Visual equipment. In basic terms it lets you switch what you show on screen from one laptop to another with a nice seamless changeover. No more on screen fumbling and setting up, this piece of equipment can be hired from any AV company. It’ll be standard equipment in any larger conference or set-up but for smaller meetings it makes everything look more professional.
3- Don’t cram too much in
We have said it before but it still gets ignored. The human brain can only take so much in - by planning a 9 hour meeting with few breaks you are defeating the purpose. It’s a fact!
4 - Book a room larger than you need
The extra cost is minimal and the benefits are obvious. If you decide to engage your audience more you have the space to do it but most of all a spacious room with the right ambient temperature is a much better working environment.
5 - Bring back ups and an extra extra laptop.
No there isn’t a duplicate “extra” in the above, we did mean to put in two. You’ll need a second laptop anyway now that you’re using a switcher and then you need a back up. You might just use it to show a holding slide, play a DVD or maybe not at all but at least if you need it it’s there. Oh and back up the presentations on to a few memory sticks.
Good luck with stress free smaller/internal meetings with the above in mind.

Cast your mind back to your school days and the general advice was that you should take a ten minute break from study every hour or so. Now asking around the EventWorks team it seems that those breaks seemed to stretch a little longer so maybe we’re not the best to preach. Though the rule was generally accepted - your mind can only take in so much without what you are reading or hearing entering your brain as some sort of garbled facts. And yet people still stretch the conference time, remove guest speakers, cut back on coffee and lunch breaks - all to get more information across. But it defeats the purpose. There’s only so much that anyone can take in, that’s a fact not a EventWorks invention.
So if you don’t listen to us and go for one of the many options to make your conference interactive with energisers or team games then why not consider some even simpler ideas?
Get people to swap seats. Even looking at a speaker from a different location or sitting beside different people can make a big difference.
Spring something on them- an unplanned breakout, a guest speaker not on the agenda, a walk in the sun. Just something they’re not expecting.
Involve them - Yes Q&A can add to the overall length but a simple show of hands or keypad vote keeps everyone on their toes.
Have Fun- It’s not a bad word and has a place in even the most serious conference. Have a vote for who is choosing the music for during dinner that night (and play some) - what DVD will play on a coach transfer, Put up menus or restaurants and start a culinary argument on where to eat.
Try it - you’ll be pleasantly surprised.

The MD is meeting with the staff to discuss the targets for the new year. After a couple of minutes, two men burst in the back door, dressed in black with tights on their heads. They shout and take everyone by surprise, grab the chairman and drag him out the door. An eerie silence descends on the room as a member of the Gardai enters with a tape which the kidnappers left behind. There is a pause before the Mission Impossible music introduces teams to their mission - “should they choose to accept it.”
Their mission is simple, to save their boss (or a briefcase taken instead)! This is a treasure hunt in the classic manner but we have livened it up with all sorts of special effects. Mission Control, HQ, clues on tapes, spies on the streets and much more.

It’s A Knockout
The old classic is still as popular as ever and the secret to our one is that we have combined some great inflatable games with some old fashioned classic It’s a Knockout games which all work brilliantly. These are the key to the success of the event. We also have an MC on duty and music playing throughout. We can vary the amount of water and the physical challenge but most of all it’s about fun and you will have earned your food and drinks afterwards.
“It was very well organised, everyone had a great day and a good laugh which is the main thing. Thank you for your help and professionalism with the organisation of this event.”

Olympics
Sometimes when we work with larger groups it can be difficult to run to a tight schedule with everyone arriving at different times. This is a more flexible format where smaller groups represent their countries but is run in a more relaxed format over the given time period. You still earn points for your team and it’s still competitive but can suit groups who want something less structured. There are many options to theme it up so contact us for more information.
Irish Olympics
This one is really for the incoming group market and here we concentrate on classic Irish activities or variations of them. It’s great fun, still competitive and the group can learn about some of our traditions while they are at it.
“I would like to thank you and your team for Friday afternoon. It has been a very successful event and we were blessed with the amazing sunshine. Everybody was very pleased with the activities, we just had a really great time.”

Family Days
We have been running family days for a decade now and we have the experience and know how to make sure that your day is a success in any weather. Choose from the best inflatables and games, entertainers and clowns, excellent entertainment for the adults and of course great food and drink throughout the day. We also offer a number of “Plan B” options in case of bad weather so that no matter what the day is like the show can go on. Let us offer you a custom proposal.
“Can I thank you very much for our company day on Saturday. It was a great success from every point of view and we have had very positive feedback. May I compliment you and your colleagues on the professional way you went about your organising all of the events and I look forward to working with you again in the future.”

Over ten years ago we started off with just a walking hunt on offer but soon realised that on occasion companies require something special to get a message across or to tie a treasure hunt into an overall theme or conference, that’s how we have developed many of our existing hunts. Starting from scratch we can devise and develop a customised treasure hunt (or other game) in any location in the world. It is not only about the location but also about the props and extras, the start and finish, the style of clues, the equipment used and most of all the overall theme. The theme lets us use our imagination and creativity to develop unusual ways of providing clues and tasks, of adding in themed actors and characters and of devising routes which suit your groups abilities and time constraints.
We have designed treasure hunt style games in over 24 counties in Ireland and in six different countries. When you need something really different or need to drive home a message then give us a brief and let us show you what we can come up with.
We can also include activities as part of a hunt and in the past have included helicopters, speed boats and then a whole range of activities such as outdoor pursuits and fishing. Some providers give you the same hunt rehashed for every group from a fixed location or hotel, with EventWorks you get a tailor made hunt designed just to your requirements.

“Thank you very much for all your hard work, everyone said that they thought it was the best team event they had been on. I will certainly be in touch as soon as I can persuade another client to do anything in Dublin. Also, you may get some other business through my recommendation as I am putting your name about on the UK circuit.”
HQ Consulting UK
This is our personal favourite as we love devising the new and cryptic challenges it requires. Someone is out to destroy your company and you have 2.5 hours to stop them.
It’s also one of our most popular although strictly speaking it’s not really a treasure hunt at all. That’s because it has very few “location clues” where you must be somewhere specific to solve them. Instead you could be cracking an email, accessing a website, be followed by a stranger, play a CD and much much more. Can you handle the more teasing challenges involved in this one, can you beat the clock and handle the pressure?

A theme party night does not strictly belong on this site as the themed party generally starts the moment you enter into the venue or in some cases from when the invites go out. There are hundreds of party themes, but this site is all about alternatives to music entertainments so the only ones we have outlined here are the ones which include some interactive elements.
Theme nights do not have set prices as they depend on how far you wish to go with all the various options. These are examples of some of our themed party nights, but if you have your own theme party ideas you want brought to life let us know and we can organise it:
Speakeasy - This theme night launches you back in time where you are attending the opening night of the Velvet Room Speakeasy. Owned by Don Marconi this swank joint is frequented by gangsters in striped suits and gun molls in boas. Remember to leave you weapons outside.
Harry Potter - Open your eyes to the magic and fantasy of a Harry Potter themed night and be mesmerised.
Mardi Gras Theme - Colourful theme party with plenty of colours, interaction, street performers and pinata
Quote: “Just a note to thank you for everything on Friday night, the event ran so smoothly. We all had a wonderful evening. I have to be honest, I was not too sure, how the black linen would work, but it looked fabulous. What can I say, the centrepiece, the accessories, Silky Smoke and all the actors everything was fantastic, and I really could not fault anything.”

Caribbean Theme - Let us take you to a warmer climate where you can relax and enjoy the Caribbean music and tropical sights. Again we include all sorts of entertainments to make it special.
Haunted Theme - We have the scariest props, the best décor and the weirdest actors that makes this theme work great for small to medium size groups. We have some incredible effects, an optical illusion and a customised séance that really will make the hairs on your neck stand up. Go on, contact us for more information if you dare.
We have many other theme party ideas available and can custom design them too.
